Scheduling a Meeting
in the Discovery Learning Center

Steps:

1) ATTENTION: A new, self-service A/V system has been installed for laptop projection. See New Projection System Guide for instructions on using this system.

2) Review the Reservation Policy (Last updated May 6, 2009) and confirm your reservation meets the policy.

3) Check the availability of the facility on the DLC Calendar.

4) If it is available, complete this reservation form.

5) Read DLC Tips for helpful advice on using the DLC Collaboratory

Once your information has been reviewed for completeness, the reservation will be confirmed and you will be notified via email.

The Collaboratory uses the BuffCard reader for access to the conference room. Please provide the names and last 7 digits of the BuffCard of up to two people who will have access to and be responsible for the conference room.

If this is your first event in the Bechtel Collaboratory or if new people need to be trained on the audio-visual equipment in the Collaboratory, you need to schedule a 15 minute training session at least two working days prior to the event. Please read DLC Meeting Tips and bring a copy to your training. Ideally, also bring your source material and laptop with you to the training.

Security
The main DLC doors are open from 7:30AM - 6:00PM Monday through Friday. You are responsible for making sure the Collaboratory is locked at the end of your meeting.

Collaboratory Set-Up
You are responsible for setting up the tables and chairs with wheels that are in the room in the configuration desired. There are also 50 stacking chairs for large meetings. The room must be returned to the classroom-style set up after the conference.

You are responsible for returning the room to its initial configuration, and making sure all trash is put into receptacles. You will be contacted for any clean up that remains after the meeting.

If you are using the Murray Reading Room, please make sure to clean up at the end of your meeting.

The Collaboratory has wireless internet access. If network access is needed for guests (i.e., non-CU attendees) you can set this up at www.colorado.edu/its/wireless/guest/.
